2. WHAT PERSONAL DATA WE PROCESS
We process personal data that you provide during event registration, as well as personal data collected in connection with your participation in the event.
Data provided by you may include:
- Full name
- Job title
- Email address
- Phone number
- Purpose of participation
- Additional questions or comments
Personal data collected in connection with the event may include:
- Photographs and video recordings capturing the event and its participants
- Where relevant, records of attendance or participation at the event
3. WHY WE PROCESS YOUR PERSONAL DATA
We process your personal data for the following purposes:
A) Event organization and participation
- Managing registration, attendance and event administration
- Communicating practical event-related information, including organizational updates and changes
B) Participant engagement and networking
- Facilitating professional interaction between participants during the event, where relevant to the nature of the event
- Responding to questions submitted during registration
C) Communication about future events
- sending invitations, updates and information about future events similar to those you have attended or registered for
D) Event documentation and promotion
- Documenting the event through photographs and video recordings
- Using selected photographs and video recordings to present and promote FEG events and activities, including on FEG websites, social media channels and in internal communication materials
4. LEGAL BASIS FOR PROCESSING
We rely on the following legal bases:
A) Performance of a contract (Art. 6(1)(b) GDPR):
- To take steps at your request prior to participation in the event and to manage your registration and participation where necessary for the organization of the event
B) Legitimate interest (Art. 6(1)(f) GDPR):
- To communicate practical and event-related information where necessary for the organization of the event
- To ensure the efficient administration and smooth running of the event
- To document the event and, where appropriate, promote FEG events and activities through photographs and video recordings
Our legitimate interests include organizing and improving professional events, maintaining contact with participants, documenting our activities and promoting future events in a proportionate manner.
We do not use your personal data for automated individual decision-making or profiling within the meaning of Article 22 GDPR in connection with event registration and participation.
C) Consent (Art. 6(1)(a) GDPR)
- To send you invitations and updates about future similar events via email or other electronic communication
Granting consent to receive information about future events is voluntary and is not a condition for participation in the event. You may withdraw your consent at any time by contacting us on [email protected]. Withdrawal of consent shall not affect the lawfulness of processing based on consent before its withdrawal.
5. IMPORTANT INFORMATION ON PHOTOS AND VIDEOS
FEG may take photographs and video recordings during events for documentation and promotional purposes.
A) Recordings are primarily used to:
- Document of the event
- Communicate with the nature and atmosphere of the event
- Present previous events and related activities to future participants or business audiences
B) Where possible, FEG focuses on:
- General, non-intrusive representations
- Group scenes rather than individual close-ups
Where recordings prominently feature identifiable individuals or are intended for broader marketing use, FEG will apply additional safeguards, which may include:
- case-by-case assessment
- limiting the use of the materials
- obtaining consent where appropriate
If you do not wish to appear in photographs or video recordings, you may inform the event organizer on site or contact us at [email protected]. We will assess your request and take reasonable steps where feasible.
Where the processing of photographs or video recordings is based on our legitimate interest, you also have the right to object to such processing on grounds relating to your particular situation.
6. DATA RETENTION
We retain personal data processed for event registration and participation for no longer than 2 years from the date of the relevant event, unless a longer retention period is required by law or justified by the protection of legal claims.
Personal data processed based on your consent for communication about future events will be retained until you withdraw your consent, or for a reasonable period after your last interaction, whichever occurs first.
Photographs and video recordings may be retained for a longer period where necessary for documentation, archival purposes relating to FEG activities, or proportionate promotion of FEG events. In such cases, retention will be limited to the period reasonably necessary for those purposes and subject to periodic review.
7. SHARING OF PERSONAL DATA
Your personal data may be shared, where necessary, with:
- Companies within the FEG group involved in the organization, administration or promotion of the event
- Relevant internal departments, such as event organization, marketing, communications or administrative support
- External service providers supporting us in the areas of IT systems, hosting, registration tools, communication tools, event production or similar operational services
- Photographers, video production providers, or media / marketing partners involved in documenting or promoting the event
Some recipients may be located outside the European Economic Area or may process personal data using infrastructure located outside the European Economic Area. Where this occurs, we will ensure that any such transfer is carried out in accordance with applicable data protection law and subject to appropriate safeguards where required.
8. YOUR RIGHTS
You have the right to obtain access to your personal data, request rectification of inaccurate or incomplete personal data, request erasure of your personal data, request restriction of processing, receive your personal data in a portable format, where applicable, object to processing based on our legitimate interests, including the use of photographs or video recordings where relevant to your particular situation, withdraw your consent at any time, where processing is based on consent.
You also have the right to lodge a complaint with the competent supervisory authority. In the Czech Republic, the competent supervisory authority is the Office for Personal Data Protection (Úřad pro ochranu osobních údajů).
9. IS PROVIDING DATA MANDATORY
Providing the personal data marked as required in the registration form is necessary for us to process your registration and enable your participation in the event. If you do not provide the required data, we may not be able to complete your registration.
